This entry level position is responsible for providing administrative support for day-to-day functions of the department; scanning and distributing engagement contracts on to our internal database and updating internal documents to reflect said distribution status; weekly cross checks of internal documents to ensure information is correctly represented across various internal platforms and databases; preparing Notification Letters and Amendments for North American engagements and rehearsals; and providing research support to VP, Booking Directors and Contracts Director. The person best suited for this position will have at least one-year experience in an administrative position.  A great attention to detail as well as the ability to multi-task while maintaining standards and meeting deadlines is highly important with this position.

Essential Job Functions
  • Coordinates internal and external contract distribution by uploading fully executed documents to the intranet, processes outgoing contracts for signature, and inform the appropriate people of contract arrival.
  • Cross checks internal reports to verify that all information is accurate and up-to-date.
  • Responsible for updating date hold requests (and uploading on to SharePoint) on various Engagement itineraries. Input and monitor, itinerary, contract, and venue attribute components in the engagement information system.
  • Maintains contract files, filing of settlements, and other day-to-day administrative duties as may be assigned.
  • Oversees the preparation, review, editing, and documentation of standard notices and any amendments to Agreements with guidance from Contracts Administrator and Contracts Director.
Job Requirements
  • High school diploma or equivalent GED. Associates degree or equivalent from a 2-year college or tech school preferred.
  • At least one-year Administrative experience.
  • Ability to operate a personal computer in a LAN environment using software packages including spreadsheet and databases in Microsoft Suite of applications and proprietary software.
  • Excellent writing, grammar, and proofreading skills with the ability to read, analyze, and interpret legal documents.
  • Attention to detail, ability to work within deadlines, and handle multiple contractual documents and projects accurately (all of which are in different stages of completion.)
  • Strong written and verbal skills to communicate with individuals inside and outside of the company.
  • Ability to operate general office equipment such as telephone, fax, and copier.

The Relationship Marketing Specialist will fill a critical role in ensuring that Feld Entertainment’s email marketing efforts are completed on time and on budget. Working with the entire production team, the ideal candidate will have strong organizational skills and be detail-oriented, while maintaining a friendly and accommodating attitude to stakeholders throughout the organization.
